SistematikoPH is the personal information controller for personal data collected through this website. This notice explains our practices under Republic Act No. 10173, the Data Privacy Act of 2012, its Implementing Rules and Regulations, and applicable issuances of the National Privacy Commission (NPC).
Personal data we process
Project inquiries may include your name, work email, phone number, organization, service requirements, budget range, schedule, user estimates, preferred contact method, and message. Forum accounts include a display name, email address, password hash, account status, topics, replies, private messages, timestamps, and a one-way hash based on the posting IP address. Servers may record IP address, browser or device details, requested pages, referring page, and timestamps. Optional analytics may collect device and usage data only after you allow analytics cookies.
Purposes and lawful bases
We process data to answer inquiries, take steps at your request before entering a contract, deliver and secure forum accounts, moderate content, prevent fraud and abuse, maintain records, improve the website, establish or defend legal claims, and comply with law. Depending on the activity, processing is based on your consent, performance of or steps toward a contract, compliance with legal obligations, or our legitimate interests where those interests do not override your rights.
Public content and sensitive information
Your forum display name, topics, and replies are public. Email addresses and private messages are not displayed publicly, although messages are visible to their sender and recipient and may be accessed when reasonably necessary for security, moderation, legal compliance, or support. Do not submit passwords, government identifiers, financial account details, health records, confidential client data, or other sensitive or privileged information through public posts or general inquiry forms.
Recipients, service providers, and transfers
Authorized SistematikoPH personnel and providers supporting hosting, email delivery, security, analytics, backups, and professional advice may process data only as needed for their functions. Some providers may store or process data outside the Philippines. Where applicable, we require appropriate contractual and security safeguards and remain accountable for data transferred to processors. We may disclose information when required by lawful authority or when necessary to protect rights, safety, and systems.
Retention
We keep inquiry records for up to two years after the last meaningful contact, unless a longer period is required for a contract, accounting, dispute, or legal obligation. Forum account data is retained while the account is active; public posts may remain to preserve conversation integrity unless removal is appropriate. Private messages and security records are periodically reviewed and deleted or anonymized when no longer reasonably needed. Backups may retain deleted data for a limited rotation period before secure overwrite.
Security
We use safeguards appropriate to the nature and risk of processing, including access restrictions, password hashing, input validation, encrypted transport when deployed with HTTPS, backups, logging, and security review. No internet service is risk-free. If a breach occurs, we will assess, contain, document, and notify affected individuals and the NPC when required.
Your data privacy rights
Subject to lawful limitations, you may request to be informed, access your data, object to processing, correct inaccurate data, request erasure or blocking, obtain portable data where applicable, withdraw consent for future processing, claim damages, and file a complaint with the NPC. We may verify your identity before acting on a request. Withdrawing consent does not affect processing already lawfully completed.
Children
The website and forum are intended for persons at least 18 years old. We do not knowingly solicit personal data from children. A parent or legal guardian may contact us if a child has submitted data.
